The Official Event Planning Committee Thread

I have a theory. If theres enough interest in holding an event like OPEX or NEOPEX there should be enough interest to get everyones input and ideas and keep them in an active thread until it can be arranged, right?

So whos going to pick up the ball and run with it?

Decide on a name?

Select a host city and location?

Choose a format?

It could be just about anything we've done the UTEX deals and we've done the meet-up and have dinner or lift a cold one sort of thang. Im just throwing this out for everyone. Im not trying to organize it or take charge.

If there is really enough interest this thread will survive and maybe a consensus can be established.

If not look for it to end up down here somewhere ( 1 2 3 4 5 Next> )

I think the biggest thing needed are some solid locations to explore to get out of state people interested in traveling here. I think we could do it though. As far as places to hold such a thing, Dallas/Ft Worth is an obvious choice simply for the number of explorers and places to explore. We could easily do a local thing, the trick is to get people interested enough to travel here from far away.

I say just do it. Plan for a smaller function since this is the first one we are planning. If we get overfull we'll just have to deal with it. I think maybe we can just plan for a meet and greet or round table type of event and then we can have several field trips around the area set up so people can decide which one they want to go on so locals aren't stuck going somewhere they've been before. Just plan it on here and if people from far away want to come, then they can come and commune with the brotherhood. We've got plenty of solid locations to explore. We could come up with an event and say, let small groups pick and explore local places then meet up next day and have some event for sharing the previous days/nights adventure.

I'm not through yet, I just need to stop and ponder a bit...

(hmmm...Dokk starts thinking...)

Well, as for the monthly thing, I should be attending this time. Not this weekend but next right? If getting people from out of state to come is what we want we also need to provide them with a place to stay or information on places to stay, and transportation while they're here. Just puting out some obvious points for a bigger event. I understand what you are saying about a small event that could get big though.

accommodations and transportation would be up to the people coming to the event until it got big enough that we could plan for a minimum number of people. Then we could make arrangements just like for any other convention or group meeting. LOL, Could you imagine a rented tour bus with some 40-50 people aboard pulling up to some abandoned building to do some major exploration? Or even better yet, all those people getting off and climbing down some drain!

In the meantime, I'd love to see ya at one of the monthly meet and greets. It was kind of embarrassing to have them set up a table for 6 and only two people show up but I'll do it again on the 17th.

"Everyone got their buddy?"

I should be there on the 17th. I'm planning on it. But you have to give me a break, it's not just a drive across town.

I understand. I think, for right now, we might try to push the current meet & greet concept and see where it takes us. We might start thinking about what we can do to generate or increase interest.

I figure it will "snowball" sooner or later. Until then, keep meeting, arranging explorations, and what not. It will happen. That is what I figure anyways. This may , or may not seem obvious, but I think it ought to be a convention + exploration format kind of thing. I dunno if any large scale exploration took place at OPEX, but I am under the impression that it was more of a social convention with food, and drink and what have. Which is well and all, and I would enjoy that, but we need to explore too. Make the thing "value-added" as they. Anyways, this all pretty obvious I think, but hey.

For the current Meet & Greet, is everyone happy with the current location, time, and day of the month? If not, let me know if a change in one or more of these would help more people attend. Keep in mind, location needs to be centrally located as people are scattered all over the Metroplex.

I think anywhere in Arlington off I20 is great. In fact, I can probably get there just as fast as some of you guys who might live up in Collin or Denton County. Not much traffic up 35dubya..... How many people live south of D/FW? RevSM? Allva? Is there enough down here to have a Cen-Tex event?

To be clear, it is not my intention to accomodate Texas explorers, but rather, DFW explorers. At the risk of sounding like a jerk, if other explorers in other areas want to set up their own meets, well, that is their onus. Should a Texas centric event be held? Yes, but this is not the goal of these meets, nor should it aspire to do so. A larger, broader Texas event will require much more planning than a PM reminder to RSVP for some impromtu meetup at the local Friday's.

I see where you are going with this. Basically, the current monthly meeting is primarily for explorers local to DFW but all are welcome. If we wanted to do something larger and have more people from outside of that area, we should leave the current monthly meeting thing alone and give this bigger thing another name and more attention that is needed for a bigger event. As far as why someone outside of that area is getting the invite, I'm not sure other than you might have been added by Astrofan because he invited all of the active Texas explorers on this board just to give a heads up if you were interested. I don't know for a fact if this is what happened but it sounds like a likely possibility and would be my guess. I don't remember signing up for it unless it reminds you of every reoccurence after RSVP'ing the first time.

OK let me jump back in cause there might be some confusion here folks so my bad for not splainin it better.

I started this thread to facilitate an exchange amongst the Texas / South exploring community to share and develop ideas for a state / region wide event IF thats what everyone wants. Astrosfan is correct that sort of thing means planning and coordinating months in advance and I figure we could use this thread to exchange ideas and maybe shoot for a date in Spring of 06.

If youre getting email notifications about the defunct UTEX or if you want to show up for the DFW monthly meet and greet, cool but we are talking about two different things altogether here.

The only reason I went the direction of the monthly meeting is that I was trying to drum up more interest in it. My thought was that if we can get the Monthly meeting interest up, it might be easier to spin off a state/regional event. The whole idea was to kick the whole idea of just meeting at all up a few notches. BAM! (Whoa! Did I do that out loud?)

Now, the only reason I was asking about locations, was that I was thinking a different location (still in the central DFW area) might stir up a bit of interest. Just a thought and I thought I'd kick it out there. As far as Arlington off of I-20 goes, if you're already driving 100 miles to get to the Metroplex, I don't think that Arlington off I-30 would make that much difference. Arlington's not THAT big.

Now that that's all cleared up, When I get there Saturday night and if I'm the first person, should I get a table for 6 or 8 and should it be up by the bar or snuggled off in some cozy corner. We don't want you know who with that mean old list coming by our table first, you know. ;)
